CostForge is quoting and job-costing software for service and project businesses. It connects client records, jobs and detailed quotes, with labour costing, reusable quote structures, branded client output and quote tracking. It is not positioned as a full ERP, complete accounting package or full project-management suite.
Quotes can include structured and nested line items, quantities, unit prices, staff hours, tax, payment terms, terms and conditions, issue and expiry dates, and an internal margin percentage. Individual quote items can also be hidden from the client-facing version when they are only needed for internal costing detail.
Administrators can define staff roles with hourly rates. Quote items can then use staff hours with a selected role, number of hours and rate-derived value, helping teams apply consistent labour inputs when building quotes.
Yes. CostForge supports saving a complete quote as a template and saving item groups for reuse. Templates can be searched, previewed, edited, archived and restored, then imported into another quote and adjusted for the new job.
The core hierarchy is Client → Job → Quote. A client can have multiple jobs, and a job can have multiple quotes. Jobs support active, on-hold and completed statuses, while quotes support draft, sent, accepted and declined statuses.
Yes. CostForge can send a client a secure public quote link. The client can review the quote, enter their name, provide a signature and submit an accept or decline response without needing a staff account.
Yes. CostForge has a separate client-facing quote view designed to show the relevant scope, totals, terms and business branding while keeping internal costing and margin information separate.
Yes. CostForge supports client-facing branded quote PDFs and separate internal PDF concepts. Client output is designed to avoid exposing internal margin and costing detail.
Yes. Workspace roles are Owner, Admin and Member. Administrators can invite users, choose roles, change roles, deactivate or reactivate users, and delete users. The Owner role has additional protection compared with ordinary Admin and Member roles.
Operational reporting includes client, job and quote totals; quote conversion; job completion; quote and job status counts; open quotes requiring follow-up; and recent quote activity. CostForge should not be treated as an unrestricted business-intelligence suite.
Yes. The Xero integration is live and released. Businesses can connect a Xero organisation, configure supported invoice behaviour for accepted quotes, create Xero invoice records from accepted work when enabled, and synchronise supported invoice status information.
No. Xero is the accounting integration; CostForge focuses on the pre-work commercial workflow around clients, jobs, quotes, costing, approval and supported quote-to-invoice handoff. It is not a replacement for a complete accounting package.
